How to: Create and Send a Timecard Batch

Welcome to our guide on how to create and send a timecard batch in GreenSlate. I’ll walk you through each step, so you can complete the process with ease.

1. Open All Batches Section

First, navigate to the left-hand menu to access the All Batches tab to view existing timecard batches within your project in GreenSlate.

2. Initiate New Batch Creation

Next, click the Create Batch button in the right-hand corne to start setting up a new timecard batch for processing.

3. Choose Project for Batch

Now, you'll be prompted to select the project you want to create a batch for. Click Proceed to move forward to the batch configuration screen where you will enter batch details.

4. Select Batch Name

Then, click within the Batch Name field to specify a unique name for your new timecard batch.

5. Select Desired Pay Date

Next, click in the Pay Date field to choose the relevant date for the timecard batch desired pay date. Note: Pay dates must be Monday through Friday.

6. Select Memo

Then, use the Memo field to leave a memo, if necessary. Memos created on the batch level will apply to all paycheck stubs and vouchers.

7. Select Timecard

Use the section called Add to Batch to add the desired timecards to the batch by clicking Add next to each timecard.

8. Select Multiple Timecards

You can also select multiple desired timecards.

9. Add Items to Batch

Use the bulk Actions dropdown menu to bulk add timecards. Click Add to Batch when ready.

10. Save Batch

Click Save to store your new timecard batch.

11. Request Batch Previews

When the batch is ready to be sent to the Paymaster, use the Actions dropdown next to your created batch and then Request Previews.

Note: If you need to add more timecards to a sent batch, you'll need to cancel the preview request. Otherwise, you'll be notified once the preview is ready for your review.

12. Split Timecards in Batch

Note: If timecards need to be split for multiple locations or projects, a window will appear to confirm the auto-split action. Click Split Timecards to divide the timecards into smaller segments for detailed processing or review.

For information on viewing and approving payroll previews, click here. After approval, access final reports through "Actions > Final Invoice." Preliminary reports are available before approval, while final reports appear after completion.
