Accounts Payable Vendor 1099 General Process

GreenSlate is designed to make the AP Vendor 1099 process simple. In this article we’ll review each step in the workflow to help your project prepare accurate 1099 information.

Important: This article explains how to use GreenSlate's 1099 features. It is not tax or legal advice. You are responsible for deciding which payments are reportable, how vendors are classified, which 1099 codes apply, and which federal and state filings are required. Consult your tax advisor and current IRS instructions for Forms 1099-MISC and 1099-NEC here.

1099 Codes

The 1099 codes available in your project can be found in the Manage Code Types module. In the Actions menu, select View then filter by Enabled in the Manage Code:1099/T4A screen.

Please contact [email protected] if you need additional codes enabled.

Vendor Information

In the Vendor Information screen, please confirm the following fields are accurately filled out per the vendor provided W-9.

Tax Information section:

  • Select the Tax Entity type.

    • The Tax Entity type you select affects whether a vendor appears on the 1099 Final Processing Report. See the IRS Instructions for Forms 1099-MISC and 1099-NEC for which payments to corporations are reportable.

  • Fill in the Tax ID number.

  • Attach the vendor W9 in the Files area.

    • For your security, do not send W-9s, Tax ID numbers, or other sensitive vendor data by email. Upload them only through GreenSlate.

Defaults section:

  • Select the 1099 code.

Entry Screens

The primary modules used for AP Vendor 1099 tagging are Purchase Orders, Bills, and Check Requests. In the entry screen, select the correct 1099 code for each detail line. If the vendor has a default 1099 code in the Vendor Entry screen, this will automatically populate but can be changed if needed.

You can also 1099 tag AP vendors in the Journal Entries, Petty Cash, and PCard modules. The 3rd Party Vendor field in the detail line enables you to select the vendor to be tagged with the 1099 coding. Please note that 3rd Party Vendors must be available in the Vendors module.

Audit Reports

Audit reports are designed to help you review 1099 coding and vendor information for completeness. These reports can be generated for individual projects or on a cross-project company basis in the Accounting Reports module.

An example of the audit report All Paid Transactions with 1099 Filter:

This report sorts by vendor code and groups all paid transactions for a vendor for the selected date range, regardless of 1099 tagging and amount. You can compare the vendor name, tax entity type, tax ID number, and address against the vendor provided W-9. You can also review all vendor detail lines to confirm the 1099 tagging is correct. In the above example, Hachiware Rentals LLP has three detail lines tagged with MISC-01, including the 3rd Party Vendor entries done in the Journal Entry and Petty Cash modules.

1099 Final Processing Report

The 1099 Final Processing Report generates the information that will appear on your project’s 1099 forms. The report includes vendors whose reportable payments meet the IRS minimum amounts for the tax year. The report also lists any vendor with federal or state tax withheld, regardless of amount. State filing thresholds may differ from federal rules. Review your state requirements separately. Like audit reports, it can be generated for an individual project or on a cross-project company basis in the Accounting Reports module.

The Excel version of the report will be used for processing the 1099s and contains two tabs: 1099-MISC and 1099-NEC.

Review the report carefully before your 1099s are processed. You are responsible for the accuracy of vendor data and 1099 coding.
