Division Overview
Divisions in GreenSlate let a project route documents — start work packets, timecards, and purchase orders — to a designated approver instead of requiring every submission to go through a single central approver. This is especially useful on large productions where department heads, production coordinators, or other crew leads need to submit or approve documents on behalf of their own team members.
What Is a Division?
A division works much like a department (e.g., Art, Set Dec, Camera, Grip & Electric). Each employee on a project belongs to one or more divisions, and each division can have one or more division admins who are responsible for that group.
Divisions can also be nested: a subdivision sits underneath a parent division, inheriting the same admins and access when useful. For example, if Art department approvers should also handle Set Dec approvals, Set Dec can be added as a subdivision of Art rather than set up as a fully separate, standalone division.
Division Access
Access Level | What They Can Do |
Division Manager | GreenSlate Support assigns this project role. Users with this role can move employees between divisions and promote users to division admin. |
Division Admin | Can submit and approve documents (start work, timecards, purchase orders, etc) on behalf of employees in their division or its subdivisions. Can only view documents belonging to their own division(s). |
Division Member | Employees can belong to one or more divisions; their documents route to the relevant division admin for approval. |
How It Works Day to Day
Getting started: A GreenSlate support team member sets up the initial divisions for a project and assigns the Division Manager role to the appropriate user(s).
Inviting employees: Division admins can invite new employees directly to their division from the Invite Employee page, selecting the correct division from a drop-down. If each division hasn't been created yet, new employees default to the parent division and will need to be moved once their department's division is created.
Submitting and approving: Users who belong to multiple divisions can choose which division to submit a document under. Approvers see pending documents for their division(s) in various modules (such as Timecards, Purchase Orders, Bills, etc.).
Managing access: Division Managers can add or remove an employee's division access, move employees between divisions (with or without their existing documents), and promote employees to division admin — all from the Users page under Project.

Common Setup Challenges
If division admins or department heads aren't assigned before employees start submitting documents, approvals can stall with no one to approve them. If this happens, options include making the approval step skippable, routing approvals to the parent division temporarily, or granting another accounting team member temporary approval access across all divisions until admins are in place.
