How to: Rename and Reorder Attachments

Rename a file after it's uploaded and reorder attachments using drag-and-drop so approvers and auditors review them in the order that matters most. Available for all attachments, including on Bills, POs, Timecards, and other forms that use file manager.

Note: You need edit permission on the document to rename or reorder its attachments. Read-only users can view attachments but cannot change their name or order.


Rename an Attachment

Step 1: Locate and open the file list where your attachment is uploaded.

Step 2: Click the button next to the file name to open the More Actions menu icon.

Step 3: Select Rename to edit the name in the field provided.

Step 4: Enter your new file name in the popup.

Note: File names can be up to 200 characters and cannot include the characters < > : " / \ | ? *,. Leading periods and trailing spaces are removed automatically. The file extension (for example, .pdf or .png) stays fixed and cannot be edited.

Step 5: Click the Save button to apply the new name, or click Cancel to close the dialog without making changes. The updated name appears immediately in the file list and in the downloaded file.

Reorder Attachments

Step 1: Open the file list where your attachments are uploaded.

Step 2: Click and hold on a file, then drag it up or down to the position you want. The new order is saved immediately.

Tip: Drag the most important backup — the file you want approvers and auditors to see first — to the top of the list so that it’s easy for them to find it.

How Reordering Affects PDFs

Generated PDFs (for example, a Bill PDF or Timecard PDF) attach files in the same order shown in the file list.
